This Request for Proposals (the “RFP”) is an invitation by the Corporation of the Municipality of Port Hope (the “Municipality”) to prospective proponents to submit proposals for Audio Visual Upgrades in Council Chambers to Support Hybrid Meetings, as further described in the RFP Particulars section.

The primary objectives of this RFP are to select a qualified proponent to upgrade the AV technology in the Council Chambers to enhance meeting quality, accessibility, and user experience. The project aims to enable virtual attendees to see and hear speakers as if physically present, improve in-room audio and visual capabilities for attendees, and ensure seamless integration of virtual participants. The solution must be user-friendly, secure, reliable, and respectful of the building’s heritage, while also providing long-term functionality and ongoing support from both administrative and end-user perspectives.
